Mentoring Agreement
Terms and Conditions
In partnership with Scottish Government, Public Health Scotland through its Healthy Working Lives (HWL) programme has a key role in supporting businesses and their employees to plan and return to work safely. The HWL mentor programme is designed to help organisations to learn from and share experiences across various sectors.
This agreement is to protect the integrity and relationship between the mentor, mentee (client) and HWL. It is also to ensure that Public Health Scotland can provide accurate and up to date statistics to the Scottish Government. Mentors and their employing organisations are required to make a commitment to HWL as detailed in the following.
Approval
When completing the HWL mentor application form you will be asked to confirm that you have read and understood this agreement. It is important that you have the agreement of your organisation and approval from your line manager to engage in this programme and to voluntarily provide support and advice to organisations outwith your own.
Skills & Experience
In order to become a mentor, you are required to register and to demonstrate that you have the required knowledge and skills to share your experience with and support another organisations.
Mentoring Role
Mentors can have two roles.
Mentors can opt to provide one or both service and must adhere to the roles and responsibilities (available via this link) of the mentor:
- the first is to provide resource materials to HWL for inclusion as online examples to our clients (examples of risk assessment etc)
- the second is to share your experience directly with a third party organisation (mentee) to help them improve their working practices
Active Mentor
To remain active on our mentor list, mentors are required to have supported at least one mentee per year (where there has been a mentor/mentee match). If mentors are unable to meet this requirement, they should contact HWL to discuss options.
Copyright & Resources
The copyright of any HWL online materials is held by Heathy WorkiLives (HWL) and Public Health Scotland. Mentors are permitted to signpost to HWL website materials and to reproduce and use these materials with their mentoring clients.
Sharing Resources
When additional resources have been shared or suggested to the mentee these should, where possible, also be shared with HWL for inclusion as examples of good practice on the HWL website.
Commercial Gain
Commercial copying, sale, hiring or lending of HWL materials and resources is prohibited. Mentors are not permitted to charge a fee for any advice or support given via the mentoring programme.
Quality Assurance
HWL programmes and processes are reviewed regularly. You will be informed of any alterations to the programme, process or roles and responsibilities by email. In order to ensure consistency and quality of delivery, a HWL representative will periodically review your input to the system.
Reporting
All mentors will be required to complete the online mentor record outlining the advice and support offered to mentee prior to closing off the mentee enquiry. Mentors will be contacted periodically (on 3-monthly basis) to provide feedback on how the programme is operating.
Evaluation
Mentors should be aware that all mentees will be asked to complete an evaluation providing feedback on the advice and support that they received from their mentor. This will form part of anonymised reporting to Scottish Government and other partners.
Data
The Mentor agrees not to share any information with anyone who is not authorised by Healthy Working Lives or disclose any information obtained from Healthy Working Lives’ Information System to any third party, without prior authorisation.
Changes to Agreement
If you do not wish to remain on the HWL mentors list, please inform HWL.
